We will be holding our Spring SMARTS Office System training session here in Iowa on Thursday and Friday, April 15 and 16. 
Cost for the two-day session is $150.00 per person. All options of SMARTS will be thoroughly discussed, and questions answered. Registration, along with a $50 deposit, is appreciated by April 5th. When we receive your registration, we will fax you an agenda and motel information.
END OF MONTH CHECK LIST End of the month billing is routine for most of you, but we wanted to review procedure for new operators. 1) All billing for the month is entered. 2) All deposits for the month are entered. 3) Run an Aging schedule, if you plan to include aging on the bills. 4) Run the finance charge option, if you charge interest on overdue accounts. 5) Run a Big Report and review billing, deposits, adjustments and finance charges. 6) Change the message on the bottom of the statements. 7) Change the paper in the printer if you are using special two or three-part carbon, or other special billing paper. 8) RUN THE STATEMENTS. 9) Make sure scripts are typed in for co op tear sheets 10) Run the coop affidavits and tear sheets PROJECT MASTERS We had a support situation this past month that involved projection of the Master files. The situation was that a long-term account cancelled out in October. The operator went into Masters and into Long Term billing, and zeroed out the account. When she left the Long Term billing option, she was asked if she wanted to project changes to future months. She answered the question Yes, and projected the change of zeroing out the account until December of 1998. She then projected her newly changed Master until December of 1998. What she didn't take into account is that months were opened until March of 1999. The result was that the account appeared in January 1999 Masters and Billing, and the operator was mystified as to where it came from. Proper procedure would have been projection through all created months. So, if you are in this operator's position, make sure you project Master and Long Term entries or corrections into all created months.
